Minimum Requirements
To be considered for the Administration Clerk (Production) position, applicants must meet the following:
Educational Qualification
- A Grade 12 Certificate (NQF Level 4) or equivalent qualification.
- No prior experience required – training will be provided!
- Additional training or knowledge in asset management, procurement, or codification will be an added advantage.
Skills & Competencies
Candidates should demonstrate the following key skills and attributes:
- Excellent communication skills (both verbal and written) in English.
- Strong telephone etiquette and typing proficiency.
- Sound knowledge of Microsoft Office packages (Word, Excel, PowerPoint, Outlook).
- Good numerical ability and analytical thinking.
- Excellent organizational, interpersonal, and problem-solving skills.
- Ability to maintain confidentiality and work with accuracy under pressure.
- Understanding of Department of Defence (DOD) policies, SOPs, and directives.
Key Duties and Responsibilities
As an Administration Clerk (Production), you’ll play a key role in ensuring smooth and efficient administration within the Logistics Division. Your day-to-day responsibilities will include:
Clerical & Administrative Support
- Provide administrative and clerical assistance in managing, controlling, and safeguarding logistical documentation.
- Ensure compliance with security, confidentiality, and audit requirements at all times.
Document Management
- Allocate document identification numbers and control revision levels.
- Manage computer file references and load data onto the Logistics database using data-capturing forms.
- Maintain accurate, up-to-date, and traceable records for operational use and auditing.
Security & Confidentiality
- Administer the document release process and ensure secure destruction of classified or redundant documentation.
- Control access to and distribution of classified hard copies and magnetic media.
- Monitor and ensure safe return of documents upon project completion.
Logistical & Records Control
- Assist in conducting physical audits of records, distribution registers, and document tracking systems.
- Maintain proper filing, tracking, and retrieval systems for logistical and administrative documentation.
- Record and monitor all document movements to ensure transparency and accountability.
Operational Efficiency
- Support management in developing and implementing an efficient document control system.
- Promote operational effectiveness by ensuring the integrity, availability, and accuracy of all logistical records.
- Uphold adherence to Departmental Policies, Standard Operating Procedures (SOPs), and security protocols.
